How to Organize Your Persona Library?

Your persona library holds two things: personas you saved from the public catalog, and personas you (or your team) created from interviews or Scout. Without upkeep it becomes a graveyard of stale profiles — and stale personas quietly drag down every research project that uses them. This guide walks through how to keep it useful.

What you see in the library

My Persona Library
├── Saved public personas (read-only, can save to favorites)
│
└── My custom personas (editable)
    ├── Ungrouped
    ├── Project A
    ├── Project B
    └── Customer C

You can rename and create folders. Public personas stay read-only. To edit one, "Create a copy" and edit the copy.

What you can do today

  • View, search, and filter all personas
  • Group them into folders
  • Bookmark public personas (saves a copy reference)
  • Edit and delete custom personas you created
  • Duplicate a public persona to make a custom version

What you cannot do: bulk-edit multiple personas at once, archive, or undo a delete.

Practical habits that pay off

Keep a domain folder per product category. If your company tests fitness apps every quarter, make one "Fitness App Users" folder. Generate 20-30 high-quality personas in your first research, save them there, and reuse them next time. Six months later, refresh the folder rather than starting from scratch — the comparisons between waves become much more meaningful.

Delete incomplete profiles. A persona missing age, occupation, or core motivation produces vague responses in interviews. Either fill in the gaps or remove it.

Audit once or twice a year. Anything unused for 12+ months is probably stale (consumer trends move fast). Update or remove it.

What gets shared with your team

If you're on the Team plan, the creator of a persona can flip a "share with team" toggle on the persona's detail page. Shared personas appear in everyone's persona picker. Only the creator can edit or delete a shared persona; everyone else can use it.

Two things people get wrong

Editing a public persona directly. It looks editable in some screens, but public personas are read-only. Use "Create a copy" instead.

Treating the library as write-only. Personas you create during one project are easy to lose track of. A 10-minute folder pass every month saves you from rebuilding personas later.

Things worth knowing

  • Deleted personas are gone for good. There's no trash bin. Export a copy if you're unsure.
  • Public persona count grows over time. The catalog is regularly updated. Personas you bookmark stay visible even if the original changes.
  • Team sharing is one-way for now. You can share a persona with your team, but the platform does not yet let you push team-shared personas back into the public catalog.
